Enquiry information
If you contact us through our website, email or another communication channel, we may process the information contained in your enquiry and subsequent correspondence.
Pre-consultation and consultation information
Where relevant to providing our service, this may include:
- The person the consultation concerns
- Age range
- Living circumstances
- Current care arrangements
- Concerns or changes prompting the consultation
- Healthcare or support professionals involved
- Information relevant to frailty, falls, delirium, home support, care options or other matters being discussed
- Information provided during a consultation
- Professional notes or records created in connection with the consultation
Some of this information may constitute data concerning health, which is special-category personal data under Article 9 GDPR and receives additional protection.
We ask clients to provide only information reasonably relevant to the service.
Website and technical information
Depending on the technologies enabled on our website, information may include:
- IP address
- Browser/device information
- Website usage
- Cookie preferences
- Security and diagnostic information
- Analytics information where you have provided consent where required
Further information is contained in our Cookie Policy.
3. Why we process personal information
We may process personal information to:
- Respond to enquiries
- Arrange and manage consultations
- Process and confirm payments
- Provide nursing education, guidance and care navigation
- Prepare appropriately for consultations
- Maintain appropriate professional and business records

- Manage cancellations, rescheduling and refunds
- Respond to complaints
- Maintain the security and integrity of our website and systems
- Comply with legal, regulatory, tax and professional obligations
- Establish, exercise or defend legal claims
- Send marketing communications where permitted
- Improve our services using appropriately limited information
4. Our legal bases
Depending on the particular processing activity, AgeWell may process ordinary personal data under one or more lawful bases in Article 6 GDPR, including:
Contract — where processing is necessary to take steps at your request before entering a contract or to provide a service you have purchased.
Legal obligation — where processing is necessary to comply with applicable law.
Legitimate interests — where processing is reasonably necessary for the legitimate operation, administration, security or protection of AgeWell, provided those interests are not overridden by your rights and interests.
Consent — where we ask you to make a genuine choice, for example for certain optional cookies or marketing activities.
5. Health and special-category information
Health information receives additional protection under GDPR.
Processing special-category information requires an applicable condition under Article 9(2) GDPR, in addition to an Article 6 lawful basis. The DPC emphasises that controllers must be able to demonstrate the appropriate Article 6 and Article 9 grounds for their processing.
Before this policy goes live, AgeWell should obtain professional advice and document the precise Article 9 condition(s) applicable to its consultation and nursing-record activities.
This is particularly important because AgeWell is a nurse-led professional service rather than an ordinary general consultancy.
AgeWell will process health information only where there is a lawful basis and Article 9 condition permitting that processing and will seek to limit the information collected to what is reasonably necessary.
6. Information about another person
Sometimes a family member books a consultation concerning an older person.
In those circumstances, the person booking should provide only information reasonably necessary for the consultation and should ensure they have an appropriate basis for sharing that information.
AgeWell will respect the privacy, confidentiality, autonomy and rights of the person concerned.
Booking a consultation about another person does not automatically give a family member authority to access that person’s confidential information or make decisions on their behalf.
Where consent, authority or decision-making capacity is relevant, this will be considered in accordance with applicable law and Caroline’s professional obligations.
7. General enquiries
Please do not send detailed medical records or unnecessary sensitive health information through our general website enquiry form, social-media messages or other general communication channels.
Our general enquiry form is intended to help us understand the nature of your enquiry and direct you towards an appropriate AgeWell service.
8. Service providers
AgeWell may use trusted third-party providers to operate the service. These may include:
- Calendly for appointment scheduling
- Stripe for payment processing
- Google Workspace and Google Meet for communications and online consultations
- Our website hosting and WordPress providers
- Tally.io for pre screening
- Professional IT/security providers where required
- Accountants, legal advisers and other professional advisers
These providers may process personal information according to their respective roles and contractual arrangements.
Where a supplier acts as a processor on AgeWell’s behalf, appropriate data-processing arrangements will be put in place where required.
9. International transfers
Some technology providers may process information outside Ireland or the European Economic Area.
Where personal data is transferred internationally, AgeWell will take appropriate steps required by applicable data-protection law, which may include relying on an adequacy decision or appropriate contractual safeguards.
10. How long information is kept
AgeWell will not retain personal information for longer than reasonably necessary for the purpose for which it was collected, subject to legal, regulatory, professional, accounting, insurance and dispute-resolution requirements.
AgeWell will maintain a separate internal retention schedule covering, at minimum:
- General enquiries
- Booking records
- Financial records
- Pre-consultation information
- Consultation/professional records
- Complaints
- Marketing preferences
- Website/security information
Specific retention periods should be finalised following professional advice before this policy is published.
The DPC stresses both data minimisation and limiting retention to what is necessary.
11. Security and confidentiality
AgeWell takes reasonable technical and organisational measures to protect personal information against unauthorised access, disclosure, alteration, loss or destruction.
Measures may include access controls, individual accounts, strong passwords, multi-factor authentication, appropriate device security, restricted access to health information and confidentiality requirements.
Access to personal and health information will be limited according to role and need.
Health information requires particularly careful security measures because of its sensitive nature.
No internet-based service can guarantee absolute security.
12. Your data-protection rights
Subject to applicable law and relevant exceptions, you may have rights to:
- Access your personal data
- Correct inaccurate or incomplete information
- Request erasure
- Request restriction of processing
- Object to certain processing
- Receive certain information in a portable format
- Withdraw consent where processing relies on consent
These rights are not absolute and may depend on the circumstances.
To make a request, contact:
13. Complaints
If you have concerns about how AgeWell uses your personal information, please contact us first at hello@agewellnursing.ie.
You also have the right to make a complaint to Ireland’s Data Protection Commission (DPC).

The current version will be published on this website with its most recent update date.

These Terms & Conditions apply to the use of the AgeWell Nursing Consultancy website and, where applicable, the purchase and use of AgeWell consultation services.
By booking a consultation, you agree to these Terms together with our Privacy Policy and Consultation, Cancellation & Refund Policy.
Nothing in these Terms limits rights that cannot lawfully be excluded under Irish consumer law.

The service is intended primarily for adults.

Consultations may be provided through Google Meet or another secure platform notified to you.
Different consultation types may have different prices.
The service description and total price will be displayed before booking.
5. Nature of the service
AgeWell provides education, guidance and care navigation based on the information available and provided to Caroline.
A consultation may help you:
- Better understand an issue

- Consider questions to raise with healthcare professionals
- Understand possible care/support pathways
- Identify services or professionals that may be appropriate
- Prepare for care-related conversations or decisions
AgeWell cannot guarantee a particular outcome.
6. Online-service limitations
An online consultation does not permit physical examination or direct clinical observation equivalent to an in-person assessment.
AgeWell may advise you to contact a GP, consultant, emergency service or another appropriate healthcare professional where an issue requires assessment beyond the scope of the service.
7. Your responsibilities
You agree to:
- Provide information honestly and to the best of your knowledge
- Provide only information reasonably relevant to the consultation
- Tell Caroline where information may be incomplete or uncertain
- Attend the appointment at the agreed time

A booking is confirmed once the required booking and payment process has been successfully completed and confirmation has been issued.
9. Cancellations and refunds
Cancellation, rescheduling, statutory withdrawal rights and refunds are governed by our Consultation, Cancellation & Refund Policy below.
10. Family bookings
You may book a consultation to obtain guidance relating to an older family member.
You should respect that person’s privacy and provide only information you are entitled to share.
AgeWell will not disclose confidential information about another person merely because you are their relative or because you paid for a consultation.
11. Recording
Clients must not audio-record, video-record or otherwise record a consultation without Caroline’s prior express agreement.
AgeWell will not routinely record consultations.
12. Intellectual property
Unless otherwise stated, content on the AgeWell website and materials created by AgeWell are owned by or licensed to AgeWell Nursing Consultancy.
Materials supplied to individual clients are generally for personal, non-commercial use.
They may not be reproduced, sold, published, distributed or commercially exploited without permission, except where permitted by law.
13. Website information
Information on the AgeWell website and social-media channels is general educational information.
Reading website content or interacting with social-media posts does not create a nurse-client relationship or constitute an individual consultation.
14. External websites
AgeWell may provide links to organisations and external resources for convenience.
AgeWell does not control third-party websites and is not responsible for their content, availability, privacy practices or services.
The inclusion of a link does not necessarily constitute endorsement.

Corporate engagements may be subject to a separate proposal, quotation, contract or written terms.
Where separate written terms have been agreed for a corporate engagement, those terms will govern that engagement to the extent of any inconsistency with these general website Terms.

Consultation & Cancellation Policy
Last updated: September 2026
This policy explains AgeWell Nursing Consultancy’s booking, cancellation, rescheduling and refund arrangements.
It should be read together with our Terms & Conditions.
1. Booking and payment
AgeWell consultations are generally booked online through Calendly and paid for in advance through Stripe.
Your appointment is confirmed once the booking process has been successfully completed and confirmation has been issued.
2. Changing your appointment
We understand that plans can change.
Where possible, please provide at least 24 hours’ notice if you need to cancel or reschedule.
You may use the cancellation/rescheduling options included in your booking confirmation where available or contact:
3. More than 24 hours’ notice
Where you cancel at least 24 hours before your appointment, AgeWell will ordinarily offer:
- Rescheduling to another available appointment; or
- A refund to the original payment method.
This is in addition to any statutory rights you may have.
4. Less than 24 hours’ notice
Where a non-statutory cancellation is made less than 24 hours before the appointment, a refund will not ordinarily be provided because the appointment time has been reserved and may not reasonably be filled.
AgeWell may offer rescheduling or a refund in exceptional circumstances at its discretion.
This does not affect any statutory consumer right that applies to the booking.
5. Missed appointments
If you do not attend your consultation and have not cancelled beforehand, it will normally be treated as a missed appointment and no discretionary refund will be provided.
This does not affect applicable statutory rights.
6. Late arrival
If you join late, Caroline will make reasonable efforts to provide the consultation during the remaining appointment time.
The consultation may still need to finish at the originally scheduled end time.
Where the delay is substantial and prevents a meaningful or appropriate consultation from taking place, the appointment may be treated as missed.
7. If AgeWell cancels
If AgeWell needs to cancel an appointment, you will be offered:
- Rescheduling at no additional charge; or
- A full refund of the amount paid for the affected consultation.
8. Statutory 14-day withdrawal rights
Consumers who purchase certain services online generally have a statutory 14-day withdrawal period beginning when the service contract is entered into. There are important rules concerning services requested or fully performed during that period.
AgeWell’s ordinary 24-hour cancellation arrangements do not replace or remove applicable statutory withdrawal rights.
Where you specifically request AgeWell to provide a consultation during the statutory withdrawal period, additional consent/acknowledgement may be required during checkout.
Where a service has begun during the withdrawal period at the consumer’s request and the consumer subsequently withdraws, consumer law may permit a proportionate charge for services already supplied. Where a service has been fully performed in circumstances meeting the statutory requirements, the right to withdraw may cease.
9. Checkout wording
Have this reviewed before implementing it, but I recommend AgeWell’s solicitor/consumer-law adviser review a required acknowledgement based on:
I request AgeWell Nursing Consultancy to provide my booked consultation during the 14-day statutory withdrawal period where my appointment falls within that period. I understand that, where the legal requirements are met, I may lose my statutory right to withdraw once the service has been fully performed.
This should not be implemented as an attempt to waive consumer rights beyond what Irish law permits.
10. Refunds
Where a refund is due, AgeWell will initiate it to the original payment method as soon as reasonably practicable.
Bank and payment-provider processing times are outside AgeWell’s control.
11. How to cancel
You may cancel using the link provided with your booking or by contacting:
Your cancellation should clearly identify the name and appointment concerned.

4. Professional nursing standards

AgeWell does not prescribe medication or independently instruct clients to commence, discontinue or alter prescribed treatment.
Medication-related decisions should be discussed with an appropriately qualified prescriber or treating healthcare professional.
9. Decisions following a consultation
AgeWell aims to help clients better understand information, options and appropriate questions or next steps.
Healthcare and care decisions should be made with the appropriate professionals where assessment or professional input is required.
AgeWell cannot guarantee any particular health, care, funding, service-access or other outcome.
10. Information accuracy
Guidance provided during a consultation depends partly on the accuracy and completeness of information supplied.
Relevant information that is unknown, omitted or inaccurate may affect the guidance that can appropriately be provided.
11. Family members
AgeWell frequently works with families supporting an older person.
A consultation with a relative does not give AgeWell the ability to assess, diagnose or make decisions for the older person.
AgeWell will respect the older person’s privacy, autonomy, confidentiality and rights and will operate within applicable professional and legal requirements.
12. Website and social media
AgeWell’s website, social-media posts, downloadable resources and general educational materials are provided for general information.
They are not personalised clinical advice and should not be relied upon as a substitute for individual assessment by an appropriate healthcare professional.
13. Professional accountability
Nothing in this Clinical Disclaimer is intended to remove or reduce any professional duty Caroline owes when providing nursing services or any right that cannot lawfully be excluded
